Working Schedule
On this tab, you enter your working hours, per day of the week. Sophia uses this to show when you're available on the calendar.
A working schedule has two layers: first you create a schedule for a given period, then you fill in the periods per day of the week, such as "9 to 12 working" or "12 to 1 lunch break".
Creating a Schedule
Click Create schedule, and choose:
- Valid from: this must always be a Monday. Sophia suggests the next upcoming Monday by default.
- Valid to: this must always be a Sunday, and can't be before the start date. Leave this field blank for a schedule with no end date, you'll then see "Indefinite".
A schedule always covers whole weeks, from a Monday through a Sunday.
WARNING
Does the period of your new schedule overlap with an existing schedule? Then Sophia shows an error message with a suggested valid start date. A schedule with no end date also can't exist alongside another schedule that starts later.
A new schedule starts out empty. You add working hours afterward, per day of the week.
Setting Working Hours Per Day
Every schedule shows the seven days of the week. Click the plus icon next to a day to add a period.
Fill in:
- Label: a free description, for example "Consultations" or "Lunch break".
- Working: turn this on for hours you're available, or off for, say, a break or admin time.
- Start and end time.
- Color: choose a color to easily recognize this period.
Have you created periods before? Then you'll see a Recently used list at the top, with the periods you've set recently. Click one of these to instantly reuse its label and color.
TIP
This list of recently used periods is stored on your own device and browser, not in your account. On another device, you start with an empty list.
You can set up several periods in a row on the same day. Sophia doesn't check whether periods overlap, or whether the end time comes after the start time: watch out for this yourself when filling it in.
Making Changes
- Editing a schedule: click the pencil icon next to a schedule to adjust only its start and end date.
- Deleting a schedule: click the trash icon. Sophia asks for confirmation, since this can't be undone.
- Editing or deleting a period: use the icons next to a period within a day.
TIP
Sophia only checks whether your schedules overlap with each other, not whether a change conflicts with appointments already booked.
