Patient List
The Patient List (Patients in the main menu) is the starting point for every patient in your practice. Here you find existing patients, create new ones, and open a patient's record.
Finding Patients
The table lists every active patient with their first name, last name, national number, and phone number.
- Click a column header to sort by that column. The list opens sorted by last name.
- Use the search field to filter the list as you type.
- Results are split across pages. Use the controls at the bottom to switch pages or change the page size.
Creating a New Patient
Click Create patient in the top right to open a blank record.
- Fill in the Basic Data tab with the patient's personal, address, and contact details. See Basic Data for a full overview of every field.
- If you have an eID card reader connected, you can scan the patient's Belgian identity card to instantly fill in their name, national number, address, and photo. A green Identity verified via eID label confirms the scan.
- You can also click Fetch Member Data and enter the patient's national number to pull their record from eHealth in advance.
Opening a Record
Click the pencil (edit) icon on a row to open that patient's full record. There you find every part, from basic data to medical record. Not everything sits directly on the tab bar: some parts live under the More button, see the introduction for an overview.
At the top of every record there's also a mail icon, to quickly send the patient an email. If you have an eID reader connected, you'll also find a button there to rescan the identity card at any time.
Disabling a Patient
Click the crossed out eye (disable) icon on a patient's row to disable them, for example when someone permanently stops treatment. A disabled patient:
- Disappears from the default patient list.
- Keeps all historical data, such as files, comments, and invoices.
- Can be brought back at any time. See Reactivating a Patient below.
Reactivating a Patient
Click Reactivate patients in the top toolbar to bring back a patient you previously disabled.
- Search for the patient by name in the list. Only disabled patients appear here.
- Click Reactivate to restore them to the active patient list, with all their data intact.
Merging Duplicate Patients
TIP
This feature must be enabled for your account. If you don't see the merge icon, ask your administrator to activate it.
Did the same person accidentally end up as two separate patients? You can merge them into one record.
- Click the people (merge) icon on the row of the source patient: the record you want to merge away.
- Search for and choose the target patient in the window: the record that should remain.
- Check the names and national numbers of both patients, to make sure you've picked the right pair.
- Click Merge patient to combine them.
WARNING
Merging cannot be undone. The source patient's data moves to the target patient, and the source record is no longer usable on its own afterward. Check carefully before confirming.
Approval Expiration Alerts
TIP
This feature must be enabled for your account.
If this feature is enabled, a warning banner appears above the patient list whenever one or more patients have a mutuality approval that's about to expire or has already expired.
- Expand the banner to see each affected patient, along with the type of approval and its end date.
- Already expired approvals are shown in red, soon to expire ones in orange.
- Click through to the patient's Approvals tab to renew it.
