Setting Up Tariffs Correctly
Sophia uses several layers to determine which tariff an appointment gets. If you don't understand this order, it can quickly look like Sophia is showing "the wrong amount," while Sophia is really just following a fixed rule. This guide explains that rule step by step, in plain language.
The Basic Idea
Think of the four rules below as a staircase: Sophia starts at the top, and only goes down one step if the previous step doesn't apply. As soon as a step does apply, Sophia stops there, and uses that tariff.
The Order of Precedence, Step by Step
Step 1: the RIZIV/INAMI tariff, if an extra fee isn't allowed
For some nomenclature codes, the official codes for a treatment, RIZIV/INAMI regulation doesn't allow any extra fee on top of the official tariff. Is this the case for this code? Then Sophia always uses the official RIZIV/INAMI tariff, even if you've set a higher tariff yourself. Your own tariff is then simply ignored.
Step 2: your own tariff per nomenclature, if set
Is an extra fee allowed? Then Sophia checks whether you've set your own tariff specifically for this nomenclature code on the Honoraria tab. Have you? Then Sophia uses this tariff, and stops here.
Step 3: your own tariff per duration, if set
Haven't you set a specific tariff for this nomenclature code? Then Sophia checks whether you've set a tariff for the appointment's duration, for example "30 minutes." Have you? Then Sophia uses this tariff.
Step 4: the RIZIV/INAMI tariff, if nothing else is set
Have you set neither a tariff per nomenclature nor a tariff per duration? Then Sophia falls back to the official RIZIV/INAMI tariff. This is the default value: Sophia never shows an empty or missing tariff.
TIP
Are you conventional, meaning you always follow the official RIZIV/INAMI tariffs? Then step 1 always applies to you in practice. You can't set your own tariffs anyway, so steps 2 and 3 never come up for you.
Setting Up Your Own Tariffs, Step by Step
These steps are only possible if you're non-conventional.
Step 1: go to Tariffs
Click Tariffs in the main menu.
Step 2: open the Honoraria tab
This tab only appears if you're non-conventional.
Step 3: choose what to set
- Want a tariff for one specific nomenclature code? Set a tariff per nomenclature.
- Want a general tariff for a certain duration, regardless of the exact code? Set a tariff per duration.
Step 4: fill in the amount
Type the desired amount into the field. Sophia saves your change automatically, as soon as you leave the field.
WARNING
Do you set both a tariff per nomenclature and a tariff per duration for the same appointment? Then Sophia always uses the tariff per nomenclature, since step 2 comes before step 3. The tariff per duration is then ignored for that specific code.
An Example
Say you're non-conventional, and you treat a patient for 45 minutes using a certain nomenclature code.
- Sophia first checks: is an extra fee allowed for this code? Yes, so Sophia continues.
- Sophia checks: have you set your own tariff specifically for this code? If so, Sophia uses this amount, and stops here.
- Haven't you? Then Sophia checks: have you set a tariff for "45 minutes"? If so, Sophia uses this amount.
- Haven't you done that either? Then Sophia uses the official RIZIV/INAMI tariff for this code.
Common Mistakes
- Thinking a tariff per duration takes priority: this isn't true, a tariff per nomenclature always wins.
- Setting your own tariff for a code that doesn't allow an extra fee: Sophia uses the RIZIV/INAMI tariff anyway, even though you still see your own tariff listed in the overview.
- Forgetting that conventional therapists can't set their own tariffs: the Honoraria tab doesn't appear for them.
